2003 Annual General Meetings - Edinburgh

REGISTRATION
Click above for adult and child booking forms. A separate form is required for each person. This form may be photocopied locally as necessary to save time. Please complete the form and return it to Essex Hall by 1 March 2003 at the latest, with payment. A late booking fee will be levied on applications received or unpaid after that date. The Conference Fee and Day Delegate Rate are payable by all delegates and visitors, whether resident or not, as a contribution towards the overheads of the meetings.

DAY DELEGATE RATE
This is a charge that has only come up occasionally over the past several years. It is an increasingly common way of charging for key services by the venue. The Day Delegate Rate here includes the hire of the Main Hall (with audio-visual equipment) & Centre (including several breakout rooms), tea and biscuits, and lunch from 14-16 April.

GRANTS
This year, some limited grants are available to encourage full participation among our “younger” members of congregations. A grant application form accompanies the registration form and should be filled in, if applicable, with an adjustment made to your payment.

CONFERENCE FEE
All participants except staff and guests of the General Assembly are required to pay the appropriate daily conference fee. This fee is calculated on the basis of covering the net cost of the Meetings (after deduction of various grants) when there are 300 full-time participants. These costs comprise preparation for the Meetings (site visits, mailings); the costs of Assembly officials, staff, and guests (overseas, retired ministers); the non-meal and non-accommodation costs of the Meetings (audio-visual and public address system, mini-bus, printed materials, etc). Affiliated Societies will be contributing towards the cost of the facilities they require, which reduces the conference fee slightly. The fee also funds a subsidy to parents of 6 to 11 year olds for campus accommodation and provision for pre-school nursery care.

MEALS
Breakfast will be included as part of the Bed & Breakfast Charge (except for Children). Lunch from 14-16 April is included in the Day Delegate Rate, payable by all attenders. Lunch on 13 April is before the main programme starts, and will therefore be served on a cash basis. Dinner will be on a cash basis every night. Details of meal times will be provided in the Annual Meetings Handbook.

DONATE-ONE-MEAL
Due to the inclusion of lunch with the Day Delegate Rate, and Dinner being on a cash basis, it will not be possible to run Donate-One-Meal in the usual way. The registration form will permit a donation to benefit the Social Service work of the International Association for Religious Freedom by an amount of your choice. If you wish to take part in this please complete the appropriate section of the registration form and remit the full amount including your donation - the GA will forward your donation to IARF.

RETIRED MINISTERS
Council has agreed a change for the subvention for retired ministers. Ministers will be asked to state their number of years of paid GA Service, counting part-time years as half-years. The subvention will then be that total times 1/30th of the cost of attendance. Retired Ministers of thirty or more years of paid GA service will therefore receive 100% discount. Retired Ministers will not pay the GA Conference Fee, but will pay the appropriate portion of the Day Delegate Rate and Accommodation Charges. Cash Meals will be the individual’s responsibility. Due to the potential confusion, the Retired Ministers will be asked to complete a special registration form.
